CONSTITUTION OF POC In STEMÌý

ARTICLE I: NAMEÌý

The name of this organization shall be POC In Stem.Ìý

ARTICLE II: PURPOSEÌý

The purpose of POC is to support students of color in STEM by providingÌý information about networking events, career opportunities, internships, and technical mentorship to help them succeed and grow in their fields.Ìý

ARTICLE III: MEMBERSHIPÌý

Section 1: Membership in this organization is open to all students who are interested and willing to sign up

Section 2: There are no categories of membership.

Section 3: Members are accepted continually throughout the year as long as they attend any of the sessions and be an active member.

ARTICLE IV: OFFICERSÌý

Section 1: The following officer positions shall exist in POC in Stem: President ,Vice President/Risk Management Officer, Secretary, Treasurer, Publicist, and Historian. All officers must be full time students in good standing enrolled at Âé¶¹ÊÓÆµ. The onlyÌý position that has additional requirements that must be met is the President. TheyÌý must have been a member of the organization for at least one year beforeÌý becoming President. If no qualified parties are interested, this requirement may be waived with the majority agreement of the membership present.Ìý

Section 2: The duties of each office are described as follows:Ìý

President:Ìý

To organize and preside over meetingsÌý

To function as a spokesperson for the student organization

To facilitate communication between executive board membersÌý

To work with the advisor and other executive board members to createÌý yearly goals for the organizationÌý

To facilitate monthly Executive Board meetingsÌý

Vice PresidentÌý

To preside over meetings in the absence of the PresidentÌý

To exercise all the functions of the office of the President in the absence of the PresidentÌýÌý

Will serve as the Risk Management Officer as wellÌýÌý

To assist the President in the organization of club eventsÌý

To assist in the development of yearly organizational goalsÌý

To attend monthly Executive Board meetingsÌý

SecretaryÌý

To keep a written record of what happened at all POC In Stem club meetings and Executive Board meetingsÌý

To keep club members informed of upcoming meetings and eventsÌý

To assist in the development of yearly organization goalsÌý

To attend monthly Executive Board meetingsÌý

TreasurerÌý

To maintain the finances of the organization and keep accurate records of all financial mattersÌý

To coordinate any of the salesÌý

To coordinate other fundraising effortsÌý

To assist in the development of yearly organizational goalsÌý

To attend monthly Executive Board meetingsÌý

PublicistÌý

To be responsible for recruitment of new members including coordinating the tables at Student Organization FairsÌý

To promote and publicize allÌý club eventsÌý

To coordinate any social media accounts

To assist in the development of yearly organizational goalsÌý

To attend monthly Executive Board meetingsÌý

HistorianÌý

To keep a photographic and written record of the club’s happenings throughout the yearÌý

To coordinate the photographsÌý

To assist in the development of yearly organizational goalsÌý

To attend monthly Executive Board meetingsÌý

Section 3: Candidates for office must be nominated from the membership of the POC In STEM around the end of March or beginning of April. They then must submit aÌý written application to show their commitment to the organization and discussÌý what they hope to accomplish if they receive an office. This will be distributed toÌý all members of the organization along with the voting date (approximately the mid to end of April). All members present on the day of voting who have attendedÌý at least one POC in STEMÌý event that semester (outside of meetings) will beÌý eligible to vote. Voting will take place using paper ballots. Candidates will beÌý elected into office if they receive a majority vote.Ìý

Section 4: The term of office begins at the beginning of June, with the month of May servingÌý as a transition month between old and new officers. The term of office shall lastÌý for one calendar year. Any vacancies during the year shall be announced to theÌý membership at the meeting following the vacancy. Nominations shall be takenÌý and voting shall occur at the meeting. If no one is nominated, the President canÌý appoint a member to that position.Ìý

Section 5: POC In STEM , by a two-thirds (2/3) vote of all members present, may remove on good cause, an executive board member from office. A request for removalÌý from office will be brought to the club Advisor or President who will then bring the request before the membership at the next scheduled meeting.Ìý

ARTICLE V: MEETINGSÌý

Section 1: Meetings will be held a minimum of once a month during the academic year. TheÌý Executive Board will meet at the beginning of each semester to set meeting dates.Ìý The Secretary is responsible for informing members of meetings. The PresidentÌý will set the agenda for the meetings with input from all members and ExecutiveÌý Board members.Ìý

Section 2: Decisions are made by voting- brought to the floor by a motion and a second. AÌý majority shall allow the vote to pass.Ìý

Section 3: The President or Advisor has the capability of calling special meetings for anyÌý matters they feel cannot wait until the next regularly scheduled meeting. MembersÌý must be given at least 3 days notice of any special meetings.Ìý

ARTICLE VI: EXECUTIVE BOARDÌý

Section 1: The Executive Board shall be composed of the President, Vice President,Ìý Secretary, Treasurer, Publicist, and Historian.Ìý

Section 2: The executive board shall meet once a month to discuss the planning of clubÌý events. At the board’s first meeting of each semester, they shall set the dates forÌý all Fan Club Meetings, as well as develop organizational goals.

ARTICLE VII: COMMITTEESÌý

Section 2: The Executive Board may create Special Committees on an as needed basis.Ìý

ARTICLE VIII: FINANCESÌý

Section 1: Funds of the organization shall be raised primarily through fundraising.Ìý any other fundraisers planned by the treasurer.ÌýÌý

Section 2: Upon dissolution of POC In STEM, any financial assets will be credited to theÌý Âé¶¹ÊÓÆµ Student Senate.Ìý

ARTICLE IX: BY-LAWSÌý

Section 1: By-laws may be established by club members and reviewed each September. AnyÌý member in good standing can propose the by-laws. They will be prepared for voting by the Executive Board members and submitted to members in writing prior to the meeting where voting is to take place.Ìý

Section 2: All members in good standing are eligible to vote, but must be present at theÌý meeting to do so. A majority vote is needed to allow the by-law to pass.Ìý

ARTICLE X: AMENDMENTSÌý

Section 1: All members of the POC In STEM that are in good standing may proposeÌý Amendments. The proposed amendments will be reviewed by the ExecutiveÌý Board members and submitted to members in writing at least 2 weeks beforeÌý voting is to take place.Ìý

Section 2: All members in good standing are eligible to vote, but must be present at theÌý meeting to do so. A two-thirds (2/3) majority is needed to allow the amendment toÌý pass.

Section 3: If amendments are passed they take effect at the end of the meeting during whichÌý they are passed.Ìý
