Adding a Faculty Department Printer

This page explains how to properly add a printer on faculty/staff machines using either Macintosh or Windows.

Checking Installed Printers

Before you install printers, check to make sure the desired printer isn't already installed. It's possible that the printer is installed, just not named logically or set as the default.

Checking Installed Printers on Windows

From the Start Menu click Devices and Printers. This will open a new window displaying all the installed devices and printers. If their desired printer is installed and is not the default, right click the printer icon and select the Set as Default Printer. If the printer is not installed, refer to Installing a Printer (Windows.

Checking Installed Printers on Macintosh

Click the Apple Menu located in the upper left hand corner of the screen. Select System Preferences. Under the Hardware area, select Print and Fax. If the desired printer is installed but not set as default, right click it, and select "Set Default Printer." If the printer is not installed, refer to Installing a Printer (Macintosh).

Hostname

  1. Log into
  2. Find the printer name by searching:
    1. for its IP address
    2. by searching for the DNS Name (example NH1%p% will find all the printers in Nobel Hall on the 1st floor) in the username
    3. by typing "printer" in the comments field, and selecting the departmental vlan.
  3. Remember, hostnames are entered in the format of: Printer'sName.subdomain.gac.edu.

IP Address

  1. If for some reason you are not able to locate the hostname, or are unable to add the printer via hostname, gather its IP address either by searching on greg, or collecting it from the printers configuration page.
  2. To print a configuration page, go to the physical printer, hit the menu selection buttons until Print Config Page displays on the small LCD screen.
  3. Hit the "OK" button, and the page will print.

Installing a Printer (Windows-Unmanaged)

  1. From the Start Menu select Devices and Printers.
  2. Select Add a Printer (located on the upper menu bar of the window).
  3. Select Add a Local Printer.
  4. In the Choose a printer port window, select Create a new port, and select Standard TCP/IP Port from the pop-down options. Click Next.
  5. You are then asked to input the Hostname or IP address (See Collecting the Hostname/IP address). Un-check Query the printer and automatically select the driver to use.
    1. Remember, hostnames are entered in the format: Printer'sDNSName.subdomain.gac.edu.
    2. It is suggested that you use the hostname, as the IP address may change over time. However, if the hostname does not work, the IP address will also work.
  6. Driver Installation:
    1. For Windows 7, select HP under the "Manufacturer" menu, and select HP Universal Printer PS under the "Printers" menu.
    2. For Windows XP, you will have to locate the exact driver for the printer from the "Printers" menu. If the printer is an HP Laser Jet 4200, locate the "HP LJ 4200" driver.
  7. If given the option to Use the driver that is currently installed (recommended), do that.
  8. Printer Name. Give the printer a name that the faculty/staff member will be able to identify. (Ex: Department Printer, Color Printer by Huff's Office, Printer outside the door, etc).
  9. Select Do not share this printer when prompted for sharing settings.
  10. The printer will then install, and you are given the option to print a test page or set the printer as the system default.
  11. Click Finish.
  12. Test the printer, if you did not do it during the installation process.

Installing a Printer (Windows-Managed)

  • Managed printers are printers that are installed and supported by Marco or Imaging Path (see Managed Print List)

Sharp

  1. Go to the start menu as before, and open the same "Devices and Printers" window.
  2. Select "Add a Printer" located on the upper menu bar of the window.
  3. Select the "Add a Local Printer" option located in the following window.
  4. Two options are then given: "Use an existing port" or "Create a new port." Select Create a new port, and in the drop down menu select Standard TCP/IP Port.
  5. You are then asked for the Hostname/IP address (See Collecting the Hostname/IP address).
    1. Remember, hostnames are entered in the format of: Printer'sName.subdomain.gac.edu.
    2. It is suggested that you enter the printer's hostname, as it's IP address may change over time. However, if the hostname for what ever reason does not work, the IP address is fine.
  6. The drivers for the printer must then be installed.
    1. Drivers can be found on \\phoebe\Drivers\printers\Sharp.
  7. Give the printer a name that the faculty/staff member will be able to identify. (Ex: Department Printer, Color Printer by Huff's Office, Printer outside the door, etc)
    1. Do not share the printer
    2. Do not print a test page
  8. In the Devices and Printers window right click on the printer you just installed.
    1. Select Printer Properties
    2. Select Configuration tab
    3. Select Auto Configuration
    4. Select all the toggles next to the fingers and hit okay
    5. Right click on the printer and select Printing Preferences
      1. Select the job handling tab
        1. Place a Check in the box the user number
        2. Input the department code (the user should know this code)
      2. Select the Main Tab
        1. Place a Check in the Box "no Offset"
    6. Select apply and close page.
  1. Now open a page and send a print job to it.

Canon

  1. Please make sure you are logged into the computer as them.
  2. Please use the Universal Setup.exe file for installing the canon printers.
  3. Download the correct driver from the canon website . Select the correct driver for the machine you are installing you should use the UFR_driver_setup.exe file
  4. Run the setup.exe file appropriat and step through the wizard
  5. Walking through the Wizard
    1. Next
    2. Accept the agreement
    3. Search for the Network Printers - you need to be on the same network and plugged in wired to make this search successful
    4. Select Yes for the Canon Driver Assist Service
    5. Add the printer to the bottom portion you are wanting to install by clicking the Add button and check set Printer Information Box
    6. Click Next
    7. Give the printer a name that the faculty/staff member will be able to identify. (Ex: Department Printer, Color Printer by Huff's Office, Printer outside the door, etc)
      1. Do not share the printer
      2. Set as default
      3. Click Next
    8. Click Start

Each unit has different settings based on the Printer that is installed in the area please see below for details. [Printer Options]

Installing a Printer (Mac-Unmanaged)

To begin open System Preferences and navigate to the Print and Scan or Print and Fax preference pane and click to open it.

Next click the Plus sign in the bottom left portion of the preference pane to add a new printer.

Now control + click or right click on the grey area in the icon bar and click customize.

Click and drag the Advanced icon to the grey area in the icon bar.

Now click the newly added Advanced icon. It will begin to autosearch for printers. Be patient. When done auto searching change the Type: dropdown menu to Windows or Windows Printer via spoolss

Then type in the following: smb://gustavus:adolphus@printers.gustie.gac.edu/Olin124Printer You can replace Olin124Printer with any printer queue in Papercut. Some of the printer queues are listed in the following wiki article:

List of printers in academic buildings

Change the name to something descriptive such as Olin 124 Printer Location is optional though in some cases it can be handy. Select the driver by clicking on the Use: dropdown menu.

In the driver selection window you can type the model or series of printer to filter the drivers.

To complete the install click Add and select driver options. Almost all printers here have a duplex unit and at least 2 trays.

Installing a Printer (Macintosh-Managed)

Sharp

  1. Drivers Must be installed first
    1. select the Model, platform, OS, and driver type (Ex:Ps_PPD_10.7x)
    2. Download the installer
    3. Run the .dmg file on the machine
  2. Navigate to Apple Menu/System Preferences/Print & Fax as before.
  3. Click the + symbol to add printers.
  4. Click on the IP Printing
  5. Type in the Correct Hostname/IP address (See Collecting the Hostname/IP address).
  6. If added via IP address make sure to change the name to something that reflect the official printer name (Ex: Department Printer, Color Printer by Huff's Office, Printer outside the door, etc).
    1. Remember, hostnames are entered in the format of: Printer'sName.subdomain.gac.edu.
    2. It is suggested that you enter the printer's hostname, as it's IP address may change over time. However, if the hostname for what ever reason does not work, the IP address is fine.
  7. The printer will then appear in the list of installed printer. Make sure to right click on it and "Set as Default Printer" if the faculty/staff member desires that.
  8. Select the Installable options (this will be different for each machine - best to check on another machine that has this installed properly to verify this jobs settings)
  9. You must now setup the printer with the access code, set b/w as default and duplexing this is done by setting up Presets on the Macintosh System
    1. Open a web browser
    2. File Print
    3. Select the Sharp Printer
    4. Select the Job Handling Drop Down
      1. Select the Authentication Tab
      2. Enter their User Number
    5. Select the Color Drop Down
      1. Color Mode Black and White
    6. Select the Layout Drop Down
      1. Two-side - Long Edge Binding
    7. Select the Printer Features Drop down list
    8. Select the Advanced from the "Features Sets"
      1. Place a check in the "no Offset Box"
    9. Select drop down for Presets
      1. Save As B/W Duplex
    10. I would also do a Preset for Color Duplex and B&W Non-Duplex

Canon

Installing Driver

  1. Use the Universal driver package found on afp:\\macsoft.gac.edu\Software\Printer Drivers\Canon Universal\UFR II Installer.mpkg.
    1. Select the Package and drag it to the desktop
    2. Once it is on the desktop, double-click the installer package.
    3. After the install is completed, remove the package from the user's desktop

Adding Printer

  1. Navigate to the Print & Fax menu in System Preferences as before.
  2. Click the + symbol to add the printer.
  3. Click on the IP Printing
  4. Type in the Correct Hostname/IP address (See Collecting the Hostname/IP address).
  5. Type the word "print" in the Queue
  6. If added via IP address make sure to change the name to something that reflect the official printer name (Ex: Department Printer, Color Printer by Huff's Office, Printer outside the door, etc).
    1. Remember, hostnames are entered in the format of: hostname.subdomain.gac.edu.
    2. It is suggested that you enter the printer's hostname, as it's IP address may change over time. However, if the hostname for what ever reason does not work, the IP address is fine.
  7. Select the proper printer from the "Print Using" drop down
  8. The printer will then appear in the list of installed printer. Make sure to right click on it and "Set as Default Printer" if the faculty/staff member desires that.
  9. Select the Installable options Below [Printer Options]

Customize Printer Settings

  1. You must now setup the printer with the access code, set b/w as default and duplexing this is done by setting up Presets on the Macintosh System
    1. Open a web browser
    2. Select the Job Handling Drop Down
      1. Enter their User Number
    3. Select the Color Drop Down
      1. Color Mode Black and White
    4. Select the Layout Drop Down
      1. Two-side - Long Edge Binding
    5. Select drop down for Presets
      1. Save As B/W Duplex
    6. I would also do a Preset for Color Duplex (if they have a Machine that does color) and B&W Non-Duplex
