Driver certification
Certification is required for reserving and driving a College-owned vehicle.Â
- Complete the online and. You will be contacted as soon as possible about the certification process.
- You will have the option to choose if you need Large Passenger Van certification (8, 10, and 12 passenger vans), Defensive Driver certification (required for College-owned cars and mini vans), or both.
- You may contact the certification office with requests or questions at g-vehiclecertify [at] gustavus.edu (g-vehiclecertify[at]gustavus[dot]edu).
- Responses to certifications training and all related emails is monitored daily during the academic year. Please allow for a delayed response outside of the academic calendar.
- Once you are authorized, Campus Safety will relay the information to the Motor Pool Specialist. You may then schedule a vehicle with Motor Pool.
- Motor Pool Vehicle Policy
- Defensive Driver online certification will be required to reserve or drive College-owned vehicle (cars or mini-vans included).
- To register for the online driver training training, please fill out.
- You will be contacted about how to log in for the online training and once completed, you will be added to the certified driver's list.
- Defensive Driver certification is valid for 4 years.
- Large Passenger Van certification is required for all College-owned 8, 10, and 12 passenger vans.
- To register for the Large Passenger Van training, please fill out and be sure to note which training(s) you require and open times in your weekday schedule. You will be contacted about how to log in for the online training (Part 1) and with information about coordinating the scheduling of the behind-the-wheel portion of the training (Part 2).
- Please provide at least 2 weeks advance notice to allow for the coordination of van reservation and instructor availability. Short-notice requests may not be able to be accommodated.
- The behind-the-wheel portion of the Large Passenger Van Training takes 30 minutes, sessions and open time slots are coordinated through Campus Safety after receiving the web form submissions. Drivers will need to bring their certificate of completion of the online training and their driver's license to the behind-the-wheel session.
- Large Passenger Van certification is valid for 4 years, you will receive a certification card upon completion of both parts of the training.
- When your certification expires, please contact Campus Safety about the re-certification process.
Any faculty, staff member, volunteer, or student who drives a Âé¶¹ÊÓÆµ-owned or leased vehicle or their personal vehicle on institution business must have a on file with the Motor Pool Specialist.

Rates and Fees
Departments are billed under this fee structure for use of a motor pool vehicle.
- Cars - $0.90 per mile
- Mini and 8-10-12 Person Vans - $0.95 per mile
- Minimum Charge on all vehicles - $25.00
- Reimbursement for using your own vehicle - $0.70 per mile
- Seat Removal - $50.00
- Late Return - $25.00 per day
- Not Used/Failure to Cancel Fee - $25.00
- Cleaning Fee (excessive debris and dirt) - $70.00
- Lost or Damaged Key - Replacement Charge
- No Recorded Mileage - Estimated mileage + $70.00

What happens if I get into an accident or have an mechanical or other incident with the College vehicle?
The Accident and Incident Form is located in each vehicle for your use in case of an accident or incident of any sort. Please fill it out and send a copy to Campus Safety within 24 hours.
Note: In the event of an accident or incident, you should first contact the college to report the incident and receive further instructions.

A receipt should be obtained each time the fuel credit card is used. If a receipt is forgotten or lost, a Missing Fuel Receipt slip must be filled out and turned in to the Motor Pool Specialist to account for charges made as soon as possible upon return from trip. The Missing Fuel Receipt form is available online or a hard copy can be obtained from the Facilities Office or Motor Pool Specialist.
